Guidelines for Supervising Internships
Preliminary Conference
The supervising teacher should have a discussion with the student to go over her responsibilities as a student intern, i.e. professional work habits, the fact that she is representing the Art Department and Meredith College. She should keep a journal during her internship to help her write a reflective paper at the end. A 4-5 typed summary paper should be written at the end of the internship, reflecting the whole work experience. She should include any printed pieces if this is applicable. It should be turned in no later than one week after completion of the internship.
Information for the Special Studies Form
During the preliminary conference get all pertinent information. Student's whole name, phone number, Social Security number, name of the business where she will be doing the internship, business address, phone number, and her supervisor's name.
Correspondence
Write the business supervisor, thanking him/her for providing the internship, asking for a brief job description and the number of hours that the student will be working each week.
Special Studies/Community Internship Forms
Fill out a Special Studies Form for each student indicating the number of credit hours (1 credit hour for approximately 6 hours of work per week for a whole semester). (Example: 12-14 hours of work per week X 16 weeks = 2 credit hours). Include a brief job description, company name and supervisor and the student's Social Security number. This form must be signed by the college supervisor and Department Head. Take the completed form to the Registrar's Office. During the summer, turn in the forms at the beginning of the 3rd session of Summer School.
Conference Calls
A. Call the student after she has had time to learn her responsibilities in this work situation (about 4-5 weeks) to check on how things are going.
B. Call the business supervisor. Inquire about any problems or areas in which it might be helpful to communicate with the student intern. If necessary, the college supervisor acts as a negotiator to work out any problems.
On-Site Visit
An on-site visit should be made about half way through the internship if the business is within a reasonable driving distance. The college supervisor will then get to see firsthand the areas in which the student has been working, the job projects and the working environment. The visit should be scheduled at a time in which the business supervisor will be there in order to speak to her/him personally.
Unresolved Problems
If problems cannot be resolved between the intern and her supervisor
and one or both parties is not satisfied with the situation, the supervisor has a right to
ask for termination of the internship and/or replacement of the student with another
intern if this is possible.
The student has the right to withdraw from the internship at any point
and receive no credit for the internship or partial credit if enough satisfactory work has
been accomplished prior to the withdrawal. This choice must be thoroughly discussed
with both the college and the business supervisors. A withdrawal form mush be filled
out and signed by the appropriate personnel.
Evaluation Form
Write the business supervisor 2-3 weeks before the internship ends, including the evaluation form (attached) to be filled out by the business supervisor. Include a date by which the evaluation form should be mailed back.
Grading the Internship
The grade for an internship is primarily determined by the evaluation from the business supervisor in conjunction with the summary paper to be turned in upon completion of the internship. A grade cannot be turned into the registrar until both the evaluation form and summary paper are completed. Discretion on the part of the college supervisor may be used to arrive at a fair grade.
Final Discussion
The college supervisor and the student intern should have a conference as soon as possible after the summary paper has been read and the evaluation form returned to discuss the whole work experience, the evaluation and the grade that the student will receive.
Documentation
Keep a copy of the internship form, all correspondence, evaluation, final grade, a record of conference calls and on-site visits. Take notes during the conference calls and record any pertinent information obtained from the on-site visits. Keep everything together in a file for each student intern. For summer internships that last all summer, do not turn in the internship forms until the 3rd Session of summer school so you don't have to keep giving "Z" grades for first and second Sessions.

For Student Interns
Arranging Internships
Students may either arrange the internship herself or pursue one of the available posted internships. Students should speak to the internship supervisor to see if other options are available. If possible an internship should be arranged the semester before the work experience is to begin. This is much easier to do in the Fall for the Spring semester than for the Fall semester. The Internship Forms must be completed and turned into the Registrar's Office by the end of the Drop/Add period.
Discussion
Students should discuss the internship with the college supervisor before and immediately after obtaining an internship in order for her supervisor to get pertinent information for registration. If a summer internship is confirmed during May after graduation, you must call the college supervisor and make arrangements over the phone.
Professionalism
Students will remember at all times that they are representing Meredith College and the Art Department and conduct themselves accordingly in a professional manner.
Tuition Payment
For summer internships the fee must be paid before the beginning of the first session of Summer School to receive credit. The fee of _________ per credit hour is for registration processing and staff supervision. Students are awarded credit in this manner: 1 credit hour for every 6 hours of work per week for a semester or a whole summer. Example: 12 hours a week X 16 weeks = 2 credit hours earned. During the Fall and Spring semesters, there is no additional tuition fee for internships unless you are a part-time student. If you are part-time, then you pay by the credit hour just as you do for your classes and just as you do for Summer internships.
Supervision
You and your supervisor will be called at least once during the internship to check on you progress. In addition your supervisor will be written twice and given the college supervisor's phone number in case problems arise. There will be an on-site visit towards the end of the internship if it is within reasonable driving distance. If problems occur, please call your college supervisor immediately to help resolve the issues.
Journal and Summary Paper
Students should keep a journal during the internship to facilitate writing a final summary paper. The summary paper should be 3-4 typed pages and should include all aspects of your work experience from job responsibilities, project descriptions to benefits and valuable learning experiences. You may also include drawbacks or perhaps aspects of the internship that did not appeal to you. Include any printed pieces or mock-ups if this is applicable. The summary paper must be turned in immediately after completion of the internship.
Grading
Your grade will primarily be determined from your supervisor's evaluation (attached). (80%) The summary paper will also be used to evaluate the overall experience (20%). Under no circumstance will a grade be given that is radically different form the job supervisor's evaluation. Both the evaluation and the paper must be received before the grade is taken to the Registrar's Office.
Final Discussion
You should have a final discussion with your college supervisor to discuss the outcome of the internship, the evaluation you received, the summary paper and your final grade.

Students receiving a majority of checks in the Superior to Above
Average slots will receive either an A or B depending on the number
of checks in each area, checks in other areas and the evaluator's
statement. Other grades of C or D will be determined in the same way.
In the rare event that a student knows that she will be receiving a low
(D or F) evaluation, it would be in the best interest of that student to
withdraw from the internship. A WP or WF (withdraw passing or
withdraw failing) is preferable to a D or F on your transcripts.
Withdrawing from an internship is serious business and must be
thoroughly discussed with both the college and work supervisor beforehand.
